August 29, 2024 Board of Directors Meeting Minutes

The meeting was called to order at 11:05AM by President Tim Pellerin via Zoom. Board members in attendance were Steve Couch, Tim Pellerin, Terry Barrett, Mike Dammeyer (joined the call one minute late), and Deborah Stevens. Attending from Hilton Grand Vacations (HGV) were Sharry Luneke- Regional Vice President; Matt Fox – Area Managing Director; Chip Fosth- Resort Director, Dawn Cornfield – Assistant, and Amy High. Eight owners were present on the call as well.

APPROVAL of MINUTES – MOTION was made by Steve Couch and seconded by Deb Stevens to approve the minutes of the Board meetings held on July 29, 2024, as presented. Mr. Pellerin voted aye, Mr. Barrett voted aye, Ms. Stevens voted aye, and Mr. Couch voted aye. Motion carried unanimously.

PROPERTY UPDATE was presented by Chip Fosth:

Pavers on the pool deck are almost completely installed.

Parking lot is being worked on this week with old being removed and new being placed.

01 and 02 plumbing stacks passed inspection yesterday. Now the drywalling will begin. 03 and 04 stacks are being worked on now. It has not been determined if insurance will be covering this issue.

Shelving for housekeeping and maintenance is being installed now.

New lighting in stairwells with backup generator lighting is being required by the Fire Marshall. Lights have been ordered.

Railing on pool deck to be installed around Sept. 9.

Striping on tennis courts will begin in about four weeks.

Bathrooms partitions, fixtures and vanities to be installed soon.

The geothermal heating equipment was delivered and will be hooked up to the pool in approximately 2 weeks.

Living and dining room furniture to be delivered on October 9th with removal of the old furniture to begin Sept. 9.

Dormakaba will be here Sept. 16 to program door locks.

Landscaping could begin possibly in two to three weeks. Irrigation system will be first. Tennis court landscaping has begun already.

Shipping containers in parking lot with the deck furniture and shelving will be removed once pool deck is complete and once housekeeping shelving is installed.

Property fencing will be installed beginning September 9th.

The resort is fully staffed, and new front desk staff have been trained.

RESORT OPENING STATUS. After discussion with First OnSite and HGV, T. Pellerin announced a re-opening target date of November 2nd. This is not a firm date, and owners making plans are still encouraged to book refundable travel arrangements. Many things could change with this date including the fire pump inspection next week and other timely inspections and approvals. September and October are still hurricane season, and even heavy rains could delay work.

INSURANCE: Matt Fox gave an update on the new liability insurance in place for the new year. Business interruption has been renewed in the new policy. The deductible is the main change in the policy. It goes from $100,000 to 5% of the insured value of the building. The buydown policy which allowed the $100,000 deductible is no longer offered. The new parametric formula replacing the buydown option was detailed.
